Summarization of 50058 data for November failed

The rerun of the monthly 50058 tenant data summarization failed to execute properly this past weekend - we are examining the problem and are working to have the process completed as soon as possible.

Monthly Summarization Rerunning - Decembe 14, 2012

November Monthly Summarization Rerunning this Weekend

The summarization of 50058 data for the month ending November 30, 2012 will be rerun this weekend due to missing data from the Voucher Management System (VMS). Form 50058 uploads that haven't completed processing at the start of the summarization process this evening will be held in the processing queue and will be run in the order submitted following the completion of summarization.

IMS-PIC Unavailable This Weekend - November 30, 2012

All REAC systems unavailable due to hardware refresh

 All REAC systems, including IMS-PIC, will be unavailable from 8pm eastern Friday, November 30th until 7am Monday, December 3rd for a hardware refresh.

Form 50058 uploads that might be in the processing queue at 8pm will be processed after IMS-PIC comes back online Monday morning.


Monthly summarization this weekend - November 2, 2012

Delinquency Report Guide and Reexamination Report Guide Modified

The summarization of October 50058 tenant data will be run this weekend, with the results available Monday morning.

The delinquency and reexamination reports have been modified, with the new report guides located here on the IMS-PIC Form 50058 Monthly Report Guide page.


System Release This Weekend - October 24, 2012

IMS-PIC down this weekend for system release 7.5

All of the PIH Secure Systems, including all of IMS-PIC, Form 50058 and SEMAP, will be offline beginning at 5 pm eastern on Friday, October 26, 2012, for installation of a set of major software upgrades and all PIH Secure Systems will remain offline until 7 am eastern on Monday, October 29, 2012. Form 50058 file transmissions that are received but not yet processed at 5 pm Friday will be queued and will run to completion once the release has been successfully installed and validated.

Another message with a link to the release summary will be posted here soon. We appreciate your patience as we keep all of PIH's systems updated.


IMS-PIC offline this weekend - September 18, 2012

IMS-PIC Down Friday 8 pm to Monday

The IMS-PIC application will be down from 8pm EDT Friday 21st of September 2012 until 7am EDT Monday 24th of September 2012 for system maintenance.

Monthly Summarized Completed - August 13. 2012

Monthly summarization for 7/31 runs

The IMS-PIC monthly MTCS summarization for data effective on or before 7/31/2012 ran successfully this past weekend.

All data in all monthly MTCS reports should now be accurate and is usable.

Summarization to be rerun this weekend

The first part of the monthly summarization failed this past weekend with a strange error.  Please do not rely on the monthly data this week.  We will re-run the monthly summarization next weekend (8/10-11)

IMS-PIC Offline for Maintenance - July 31, 2012

IMS-PIC offline Sunday, August 5th

The PIC application will be down between 3pm and 6pm (EDT), Sunday, August 5, 2012 for system maintenance.  We apologize for any inconvenience.


Cap Fund Certification is Due - July 13, 2012

FY 2013 Cap Fund Certification due

The FY 2013 Cap Fund Certification has begun. During the month of July, PHAs wiith public housing must certify the accuracy of their Cap Fund data in preparation for the annual grant calculation. The Cap Fund uses only approved building & unit data. Data errors must be corrected and approved by HUD before the certification can be completed.

Certifications are due by July 31. Data changes effective after June 30, 2012 will be ignored. Certifications submitted after July 31 will be handled as follows:

  • (a) the data in the system on July 31, 2012 will be used.
  • (b) After the data is certified, the certified data will also be used to calculate a grant amount.
  • (c) The PHA will receive the lesser of the two grant amounts as its grant for FY 2013.

If a development is completely missing from your Cap Fund data, please call your PIC Coach immediately. If you disagree with the values shown for your Cap Fund data, you must first determine whether it is something you can fix yourself.

The following Cap-Fund relevant data corrections can be done by the HA and HUD FO users as indicated:

  • Erroneous Structure Type *
  • Erroneous Construction Date *
  • Erroneous Bedroom Count *
  • Adding Units to developments in "Management" status*
  • Adding buildings, entrances & units to developments in "Development status"

*With HUD FO Approval (See PIH Notice 2011-07)

Ones that must be done by HUD field staff:

  • Erroneous or Modified Development Status
  • Erroneous or Modified ACC Indicator Status
  • Adding a New Development or HA

FRS 4.0 Going Out of Support - March 1, 2012

Housing agencies using FRS 4.0 need to upgrade to FRS 5.0

Housing agencies that are currently using HUD's Family Reporting Software (FRS) for the generation and transmission of Form 50058s to IMS-PIC are required to update their software to FRS 5.0 by April 27, 2012. The installation instructions for FRS 5.0 include the steps to import your FRS 4.0 data into FRS 5.0 automatically. FRS 4.0 will not be supported following this 60-day transition period.

The FRS 5.0 web page has been updated with guidance to help you back up your FRS data and to convert it from FRS 4.0 to FRS 5.0.

IMS-PIC unavailable this weekend - February 15, 2012

IMS-PIC going down Friday 2/17 for hardware refresh

The IMS-PIC system will be unavailable from 7pm Eastern on Friday, February 17th thru 7pm on Sunday evening, February 19th for a system hardware refresh.  Any unprocessed IMS-PIC 50058 or other data files in the queue at 7pm on Friday will be processed beginning Sunday evening in the order they were received.

We appreciate your understanding as we work to keep HUD systems in top running condition.


SEMAP 12/31 FYE Due 02/29/2012 - January 23, 2012

Leap Year Changes Due Date to 2/29!

SEMAP certifications for 12/31/2011 are due by 60 days later. This means that during Leap Year the certifications for 12/31/2011 must be submitted to HUD by Wednesday, 2/29/2012.

FYEs 9/30/2011, 12/31/2011, 3/31/2012, and 6/30/2012 fall in an alternating-year small-PHA deregulation period .

This means that PHAs with less than 250 Section 8 units, whose FYE is one of those listed and whose status is not already SEMAP-Troubled, are not required to certify. All other Section 8 (non-MTW) PHAs must submit a certification in IMS-PIC.

However, PHAs with less than 250 Section 8 units that are not required to certify will be scored if they submit a certification.

We recommend against waiting until the last minute. SEMAP submission problems reported to the REAC Help Desk less than two business days before the deadline leave no time to get things corrected and to submit the certification. Work with your field office contacts to get this done early and submitted successfully.
